Real Estate and Construction Systems Manager

Purpose

This position is responsible for the creative workflow process under the general supervision of the Senior Manager of Consolidated Systems, this position is responsible for managing and coordinating the process activities of the Real Estate, Construction, and Facilities Departmental requirements. Additional responsibilities include management of the Real Estate department collaborative website, own departmental analytics, and adhere to/maintain SOX compliance processes/narratives. This Position will also support all members of the Real Estate team.

Minimum Eligibility Requirements

  • Bachelor’s degree in Finance, Information Systems, Construction Management, or Management discipline. (relevant experience can be substituted for the required education based on two calendar years of experience for one academic year of education.)

  • Two to three years of relevant experience required or an equivalent combination of education and experience sufficient to perform the essential functions of the job, as determined by the company.

  • One year of experience with online project management software (Kahua preferred) and online maintenance software

  • Experience reviewing / processing purchase orders, contracts, invoices, and pay applications, etc.

  • Must be detail-oriented and highly organized.

  • Familiarity with standard concepts, practices, and procedures within a retail real estate and construction environment

  • Advanced software skills (e.g., MS software-Word, Power Point, Excel, Project, Visio etc.)

  • Advanced communication skills

  • Advanced technical and system skills

  • Strong analytical, project management, time-management, and organization skills

  • Interpersonal skills

  • Ability to deal professionally with sensitive and confidential information

  • Ability to excel in a fast-paced, complex, evolving work environment

Essential Job Functions

PROCESS AND COMPLIANCE RESPONSIBILITIES

  • Maintenance of all department contractual agreements and insurance requirements for all firms and consultants.

  • Submit, Review, and Approve vendor purchase orders

  • Manage process flow for construction budgets, schedules, milestone and action lists, bidding, draft/manage contracts, change orders, purchase orders, purchase order changes, invoice / PAYAPP processes, and document management.

  • Maintain and support development of new processes to comply with company contract, budget and invoice approval standards.

  • Maintain compliance narrative for all department processes.

  • Manage landlord tenant allowance process for construction.

  • Maintain construction budget tracking, forecasting and reporting support.

  • Track and provide information and documentation for construction legal issues.

  • Participate in Quarterly / Monthly Business and Audit Reviews

COLLABORATIVE SOFTWARE RESPONSIBILITIES:

  • System process management for Real Estate collaborative software.

  • Supports the delivery of applications, systems, processes, metrics, and services in the agreed-upon time frames

  • Supports project management tools, processes, templates, schedules, and usage

  • Helps resolve / execute system and workflow issues

  • Ensures goal alignment at all levels within project management system

  • Assists in the creation and build of system folder structures, data interface

  • Reviews set-up of all projects and related information in the web-based project management software system to ensure accuracy and quality assurance

  • Expedites development timelines, milestone schedules, action lists, and other business process templates

  • End-user training both initial and ongoing.

ANALYTICS

  • Generates detailed reporting (pre-built / ad-hoc) on schedules, milestones, financial and complete system data

  • Generate  department accruals on a monthly basis

  • Tracks / reviews project budgets, schedules, work progress, project costs

  • Participates in evaluating existing procedures, processes, and tools related to reporting and managing projects

  • Supports the analysis of probable impact of recommendations / solutions on other business areas and client groups

  • Analyze Credits/Savings on vendor Contracts and periodically confirm that we are receiving them

  • Track third party bulk buy FBO allocations

  • Monitor Project Financial health (over/under budget)

  • Allign all transactions with budgeted categories (Add/Adjust Budget Contingencys for accurate forecasting, audit PO CSI lines that are approved, Input placeholder POs into the system for department credit card expenses)

  • Track status of RE deals and report on financial impacts

  • Present Project Close out review: Analyze final project spend vs what was budgeted, Highlight variances, present findings so we can determine if budget plug numbers need to be adjusted.

  • Assists in identifying issues and gaps within current business processes

Working Conditions (travel, hours, environment)

  • This position is salaried, knowing it may include hours which exceed eight hours in a day or forty hours in a week

  • Travel required including air and car travel (5 to 10%).

  • The noise level in the work environment is typically moderate.

Physical/Sensory Requirements

Sedentary Work – Ability to exert 10 - 20 pounds of force occasionally, and/or negligible amount of force frequently to lift, carry, push, pull or otherwise move objects.  Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time.

Store Support Center Associates

Provide leadership and support training on all Safety programs, processes and procedures, insuring that every associate is properly trained for their position. 

Follow established Safety procedures in all aspects of work assignments applicable to the position.  Each associate is responsible for Safety at the Store Support Center and when visiting other company work locations.  All Safety concerns must be brought to the attention of the management of a location and/or the Store Support Center Safety Department immediately.
