Purchase Order Coordinator

PURPOSE
This position is responsible for tracking POs from PO generation to PO receipt for multiple departments. Responsibility also includes providing adhoc analysis and process improvements for the PO process. This multi-functional position will require extensive partnership with the company’s Inventory, Merchant, Supply Chain, and Asian Sourcing Office teams to provide information on problems and solutions.

MAJOR RESPONSIBILITIES

  • Identify opportunities to minimize late POs.
  • Update POs with new dates and quantities where needed in partnership with Inventory team.
  • Track the location of POs (port or origin, receiving port, DC, etc.).
  • Minimize the amount of 2030 POs.
  • Work with International Logistics to obtain aggressive sailing schedule for POs that are shipping late from port of origin.
  • Identify root cause drivers of poor vendor performance and recommend actions steps to improve results.
  • Work with Forecasting and IT teams to create PO tracking reporting to be utilized across all departments.
  • Work with tracking for back order skus.
  • Work along with Inventory Managers and Inventory Analysts to develop relationships with vendors.
  • Work with various systems including E3, Cognos, and Bamboo Rose.
  • Provide world-class service to our Stores, DCs and Internal Customers.
  • Demonstrate ability to develop necessary analysis reporting.
  • Effectively communicate with Analysts, Buyers, Vendors, and SSC members.
  • Ensure consistent application of late PO reports along with Lead Time reports.


MINIMUM ELIGIBILITY REQUIREMENTS

  • Bachelor’s degree (relevant experience can be substituted for the required education on the basis of one calendar year of experience for one academic year of education).
  • Three years of relevant experience required or an equivalent combination of education and experience sufficient to perform the essential functions of the job, as determined by the company.
  • Proven problem-solving and team building skills.
  • Excellent organizational skills.
  • Action-oriented and accountable for responsibilities.
  • Ability to adapt well in a dynamic retail corporate environment.
  • Excellent verbal, written, and interpersonal skills.
  • Strong computer skills including Microsoft Office Suite, particularly in Excel.
  • Must possess excellent customer service skills and work well under pressure.
  • Ability to multi-task, meet deadlines, and work in a fast-paced environment.


WORKING CONDITIONS (TRAVEL, HOURS, ENVIRONMENT)

  • This position is salaried, knowing it may include hours which exceed eight hours in a day or forty hours in a week
  • Limited travel required including air and car travel
  • While performing the duties of this job, the employee is occasionally exposed to a warehouse environment and moving vehicles. The noise level in the work environment is typically moderate.


PHYSICAL/SENSORY REQUIREMENTS
Sedentary Work – Ability to exert 10 - 20 pounds of force occasionally, and/or negligible amount of force frequently to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time, but may involve walking or standing for brief periods of time.
