Manager Payment Operations

Purpose

This position supports the success of Treasury initiatives, specifically customer payments and store point of sale. This role requires significant partnership with Operations, Merchandising, IT, eCommerce and Store teams to drive overall company excellence by defining, executing, and communicating operational processes related to customer payments. Responsibilities include providing operational support and analysis for all customer payment methods, facilitating payments-related projects sponsored by various teams within the company, maintaining relevant vendor relationships, and creating and maintaining process documents, SOPs, training materials and knowledge base articles for use by the Treasury team as well as others, including store associates. The Payments Operations Manager is responsible for managing a team of Payments Operations Analysts, ensuring that all tasks and projects are completed in a manner that best fits the department’s short-term and long-term goals as set by senior management.

Minimum Eligibility Requirements

  • Bachelor’s degree in Accounting, Finance or related field
  • Two - four years of experience in Sales Audit and/or Payments
  • Working knowledge of accounting principles and strong analytical skills
  • Solid knowledge of consumer payments, including credit/debit cards, checks, and cash – retail experience preferred
  • Proficient with Microsoft Office Suite (Intermediate level in Excel)
  • Self-starter with strong desire to succeed
  • Ability to make sound decisions within defined parameters to resolve customer, store, and internal inquiries
  • Affinity for systems thinking and continuous improvement
  • Excellent communication skills (verbal and written) with a focus on customer service
  • Strong interpersonal skills and the ability to interact with all levels of the company
  • Excellent customer service skills and ability to work well under pressure
  • Detail-oriented and highly organized with excellent planning and work prioritization skills and the ability to multi-task, meet deadlines, and work in a fast-paced environment
  • Must be results oriented, and demonstrate a sense of urgency with the ability to think creatively and strategically while handling difficult and complex issues
  • Must pass pre-employment background check

Essential Functions

  • Oversee operational elements of retail payments (armored carrier, cash, checks, credit cards, gift cards, etc.), maintaining a focus on providing quality customer service while partnering closely with many internal teams and external vendors as well as analyzing a variety of metrics and continually modifying strategies to better service stores and foster a customer-centric culture
  • Drive performance initiatives to improve accuracy and reduce cost, and identify areas of opportunity in retail payments and connected areas to standardize, simplify, and streamline processes, driving continuous improvement while maintaining a mindfulness of how those processes impact Treasury Accounting
  • Act as subject matter expert and escalation contact for all Payments Operations functions as needed and serve as a liaison between Treasury staff and other internal departments, building trusting relationships with Operations, IT, eCommerce, store teams, and vendor partners
  • Facilitate payments-related and other relevant software and vendor relationships, including Brinks, BAMS, AMEX, and Discover
  • Provide support, training, mentoring, and direction for the proper development of Payments Operations Analysts on an ongoing basis.  Plan, schedule, and direct staff to promote accuracy and efficiency in completing their job responsibilities
  • Lead/participate in non-routine special projects related to Payments Operations functions, to include technology enhancements and system upgrades
  • Participate in pivotal decisions as they relate to the strategic initiatives and operational models of Payments Operations
  • Create and maintain necessary documentation to assist the Treasury team, other internal teams and store associates, including response templates, process documentation, standard operating procedures, training materials, and knowledge base articles
  • Support internal and external audit processes as needed to comply with SOX requirements, to include preparation and review of monthly, quarterly, and annual audit work papers and responses to internal and external audit inquiries
  • Perform additional functions, duties and specific tasks of a similar nature and scope as necessary in order to achieve assigned business objectives

Physical/Sensory Requirements

Sedentary Work – Ability to exert 10 - 20 pounds of force occasionally, and/or negligible amount of force frequently to lift, carry, push, pull or otherwise move objects.  Sedentary work involves sitting most of the time, but may involve walking or standing for brief periods of time.
