Job Description:

PURPOSE

The Lease Administrator will work with the Store Development Team relating to existing and new store locations, corporate headquarters, warehouse and distribution centers and any temporary locations to drive consistent execution and support the operational needs of the department.  The responsibilities will include coordination of real estate activities necessary to provide for the timely functions of lease administration and lease compliance, property management, and special projects.  The administrator serves as a liaison with internal departments (real estate, construction, facilities, finance, legal and operations) as well as landlords and vendors.

MINIMUM ELIGIBILITY REQUIREMENTS

  • Bachelor’s Degree and 2-3 years of commercial retail real estate experience and departmental coordination, or an equivalent combination of education and experience sufficient to perform the essential functions of the job, as determined by the company
  • Lease Administration experience is a must
  • Prior experience with Lease Harbor and Lucernex a plus
  • Intermediate skill level in Microsoft Excel, PowerPoint and Word applications
  • Possess the technical aptitude to learn and use various systems and software
  • Effectively manage multiple priorities and projects in a fast-paced environment
  • The ability to audit and review data for accuracy
  • Able to work independently with attention to detail, documentation and follow-through
  • Strong verbal and written communication skills

ESSENTIAL JOB FUNCTIONS

The functions listed describe the business purpose of this job.  Specific duties or tasks may vary and be documented separately.  The employee might not be required to perform all functions listed.  Additional duties may be assigned, and functions may be modified, according to business necessity. 

  • Maintain real estate lease database and legal files, including documentation and coordination of leasing documents and contracts through lease execution, construction, opening and operations
  • Abstraction of Leases, Sub-Leases and Amendments for process of monthly rent invoices, statement audits, account resolutions and yearly TICAM reconciliations
  • Provide research/information on lease interpretation including rent and property issues, key dates, construction requirements, and operating expense limitations
  • Manage collection of tenant improvement allowances
  • Respond to estoppels and subordination, non-disturbance and attornment agreements, ensuring accurate information
  • Work with Facilities team on Landlord/Tenant maintenance issues with timely follow-up
  • Communicate and coordinate rent changes to Finance & Accounting (escalations, operating expense reconciliations and increases)
  • Work with insurance company and coordinate information gathering for insurance policies (cope sheets, flood insurance questionnaires, etc.)
  • Maintain communication with brokers, legal counsel and interoffice associates regarding real estate matters, as directed
  • Provide general administrative support to the Development team

WORKING CONDITIONS (TRAVEL,   ENVIRONMENT)

Occasional travel required including air and car travel

               

PHYSICAL/SENSORY REQUIREMENTS

Sedentary Work – Ability to exert 10 - 20 pounds of force occasionally, and/or negligible amount of force frequently to lift, carry, push, pull or otherwise move objects.  Sedentary work involves sitting most of the time, but may involve walking or standing for brief periods of time.
