Lease Administration Manager and Auditor

Purpose:

The Lease Administration Manager/Auditor will work closely with the Director of Lease Administration to support the operational needs of the real estate department.  Responsibilities will include management of key activities necessary to provide for the timely functions of administration and compliance of the lease for all locations in the Floor and Decor portfolio. This role serves as a liaison with internal departments (real estate, construction, facilities, accounts payable, legal and operations) as well as landlords and vendors.

Minimum Eligibility Requirements:

  • Bachelor’s Degree and 8 years of commercial retail real estate experience and departmental coordination, or an equivalent combination of education and experience sufficient to perform the essential functions of the job, as determined by the company.
  • Minimum of 5 years of Lease Administration and Occupancy Cost Audit experience.
  • Strong written, verbal and negotiation skills.
  • High level of proficiency with portfolio administration software, Lucernex preferred.
  • High level of proficiency with Microsoft Office Suite.
  • Attention to detail with high level of organization and follow-up on multiple tasks in a fast-paced environment.

Essential Job Functions:

  • Perform Occupancy Cost Audits to ensure compliance with the lease including negotiation of settlements and collection of financial recoveries for locations in an assigned territory.
  • Collaborate, manage and mentor Lease Administration team members on elevated landlord CAM disputes and lease interpretation. 
  • Perform analysis of occupancy costs to support management with the preparation of CAM accruals, budget and forecast reporting.
  • Management of key dates, including renewal of lease for all locations. 
  • Oversee Rent payment process including the balancing of monthly obligations to ensure financial compliance of the Lease and/or governing documents for all locations in the portfolio.
  • Manage all subleases including the collection of Rent and maintenance of the sublease legal file and documents.     
  • Coordinate with the facilities team in order to manage elevated landlord/tenant maintenance disputes with timely follow-up.
  • Responsible for Estoppel process including coordination of execution.
  • Ensure timely execution of Term Commencement Agreements.
  • Manage collection of tenant improvement allowances.
  • Abstraction of all Lease and governing documents into Lucernex including, key dates, covenants, insurance requirements, financial obligations and terms for an assigned territory.  
  • Provide lease interpretation research/information to the team as needed.
  • Maintenance of portfolio administration database and legal files, including documentation and coordination of leasing documents and contracts through lease execution, construction, opening and operation.
