Labor and Employment Compliance Manager

The L&E Compliance Manager and Paralegal directly reports to the VP, Associate Relations and Labor & Employment Counsel.  This position will drive the Company’s compliance efforts and support our L&E attorneys in all litigated and pre-litigated matters.  This position will work directly with our L&E attorneys and will serve as project manager for compliance projects, help to perform regular compliance audits, maintain a compliance calendar, prepare for cases, track litigation budgets and bills, and maintain an organized system of case files and company documents. This position will work on a varied range of projects and initiatives across the Company and will interface with all levels of associates in the field and across departments.  The ideal candidate for this position is organized, professional, detail oriented, responsible, proactive, and committed to helping us meet all of the Company’s growing compliance and litigation needs.       

Scope of Responsibility

  • Create and maintain compliance calendar and project manage multiple compliance initiatives
  • Perform regular compliance audits and help identify audit needs
  • Create and maintain a case management database, calendar and track related deadlines, assist with insurance notifications and requests for information.
  • Review law firm alerts and highlight any new state or local laws that may impact operations
  • Manage litigation hold process
  • Organize and track files related to case documents and subpoenas
  • Review discovery and help prepare responses, including pulling documents for subpoenas, litigation requests and discovery
  • Catalogue and develop library of policies and procedures and timeline of use
  • Help create and maintain tools for HR team
  • Draft settlement and other types of agreements and correspondence
  • Assist with ensuring compliance with EthicsPoint SLAs and run reporting to analyze EP trends, as needed
  • Conduct field trainings and help to develop compliance related e-learnings and ensure through partnership that the compliance related trainings are completed
  • Help identify training opportunities and source training vendors/resources
  • Keep track of new store openings and execute compliance items related to new store openings
  • Send out compliance notices  
  • Build positive relationships with outside counsel and inside constituents in order to drive initiatives
  • Ensure litigation bills are tracked and paid and communicate with outside counsel regarding accruals
  • Other tasks as assigned by L&E attorneys

Essential Skills

  • Highly proficient in Microsoft Excel, Word, and PowerPoint
  • Familiarity with HRIS/HCM systems such as Workday and Kronos a plus
  • Demonstrated ability to use good judgment, be discreet and highly trustworthy
  • Drive process improvements and develop systematic processes
  • Ability to analyze, solve problems, and adapt to changing organizational and operational needs
  • Excellent verbal and written communication skills
  • Ability to provide excellent customer service to internal customers and partner with other functions to improve processes and create value
  • Skill in organization, prioritization, and attention to detail

Experience & Education

  • Bachelor’s degree  
  • 3+ years of project management experience preferred, specifically in the area of legal compliance a plus
  • 3+ years of litigation/L&E paralegal experience a plus

Working Conditions (travel, hours, environment)

  • Limited travel required including air and car travel
  • The noise level in the work environment is typically quiet to moderate.

Physical/Sensory Requirements

Sedentary Work – Ability to exert 10 - 20 pounds of force occasionally, and/or negligible amount of force frequently to lift, carry, push, pull or otherwise move objects.  Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time.
