Accommodations Leave Manager

The Accommodations Manager directly supports Floor & Decor associates with reasonable accommodations requests as defined by the Americans with Disabilities Act (ADA). The specialist, in partnership with applicable third-party consultants and administrators, will conduct eligibility analyses, provide referrals, approve reasonable accommodations, and connect associates with applicable supportive services. The manager facilitates compliance with the ADA/ADAAA, OSHA and related federal, state, and local regulations and F&D policies.

Position Responsibilities May Include, But Not Limited To 
 

  • Responsible for administering and ensuring compliance for all aspects of Floor & Decor’s accommodation policies, programs, and guidelines relating to equal employment opportunity (EEO). Engage in the interactive process to identify appropriate accommodations under the Americans with Disabilities Act.
  • May perform intake interviews to gain a foundational understanding of individual needs and evaluates information received from designated professionals to determine eligibility; makes referrals and/or consults with diagnosticians, as necessary.
  • Reviews medical inquiry form documentation to understand employees’ medical restrictions and needs for accommodation.
  • Educates managers, HR, and other colleagues on appropriate services for (and communications with) associates with disabilities/ accommodations needs; compiles and distributes necessary documentation to verify the need for accommodation.
  • Compiles reports and analyzes data related to accommodations, compliance, and program efficacy, and provides reports to team/colleagues/leaders.
  • Operates within the accommodation policies and processes that meet associate’s needs and comply with federal and state laws and regulations.
  • In partnership with external third-party administrators (as applicable), review accommodation (e.g. medical/ religious/ ergonomic) requests, including initial intake, and evaluation of submitted documentation; drafting correspondence; tracking results; and recommending process improvements.
  • Train supervisors and management on accommodations process to ensure awareness of role and responsibilities.
  • Engages in the interactive process and partners with Medical Providers, Business Leaders, Legal, and HR Partners to develop individual accommodation plans to equip associates for success.

Knowledge, Skills and Abilities Required

  • Knowledge and understanding of ADA and state law regulations, guidelines, and standards.
  • Working knowledge of medical terminology and conditions.
  • Strong listening, interpersonal and communication skills.
  • Ability to deliver effective presentations to large and small audiences.
  • Ability to use independent judgment to manage and impart confidential information.
  • Effective collaboration with a wide range of stakeholders in a diverse community.
  • Strong analytical and problem-solving skills.
  • Ability to communicate with and relate to individuals of diverse disabilities and backgrounds.
  • Ability to gather data, compile information and prepare reports.
  • Serves as a liaison between associate, HR, Worker’s Comp, Legal and Leave of Absence team resources to identify return to work opportunities for occupational or non-occupational injuries/illnesses. 
  • Provide education regarding the associate’s role and responsibilities in ADA requests.  
  • Serves as point of contact for the ADA Interactive process to include providing final ADA determinations based on medical certifications and company policy. Serve as a liaison for facilitating return to work via the Americans with Disabilities Act as Amended Act (ADAAA) interactive process. 
  • Support HR Business Partners to identify reasonable accommodations suitable for the associate’s work restrictions and limitations.  
  • With information obtained from the associate, support and maintain communication with all designated Floor & Decor associates and applicable third-party administrators.
  • Communicate to the appropriate leader and HR when return to work is successful or unsuccessful. 
  • Maintain documentation of transitional duty and track timing and progress in transitional duty.  
  • Track accommodations provided via the ADA process through software platform. 
  • Provide training regarding the return to work program and processes. 
  • Other projects or duties as assigned. 
  • Limited travel (5-10%) may be required
     

Required Skills & Experience 
 

  • Must have excellent organizational and record-keeping skills, as well as the ability to manage multiple cases. 
  • Energetic and driven; high degree of self-motivation and discipline with a keen ability to handle sensitive and confidential matters appropriately. 
  • Client management experience with internal/external responsibility for developing and maintaining client relationships. 
  • Should possess excellent oral and written communication skills and ability to articulate care plans to associates, managers, HR, Legal, and other parties as necessary. 
  • Strong analytical skills.
  • Ability to work well independently with minimal supervision.
  • Able to balance multiple priorities, work under pressure with complex issues within established time constraints, meet deadlines and objectives.
  • Sound critical thinking and problem-solving skills to assess needs, analyze feedback from care providers, and assist in determining best accommodation plan. 
  • Strong computer literacy to maintain and manage case records. 
  • In-depth knowledge of local, state, and federal laws. 
  • Demonstrated ability to take initiative, successfully handle and prioritize multiple competing assignments and effectively manage deadlines. 
  • Demonstrated basic knowledge of risk management fundamentals.

Education/ Experience: 

  • Bachelor’s degree in vocational rehabilitation, occupational health, nursing, human resources management, or in a related field of study

5+ years of experience directly related to the specified duties and responsibilities (retail industry experience preferred)
