Purchase Order Coordinator

Purpose

This position is responsible for Purchase Order Management starting from shipment from the vendor to receipt at the destination to ensure the product arrives in time to meet or exceed the in-stock goals of the company. This multi-functional position will require extensive partnerships with Inventory Operations, Merchandising, Supply Chain, and the Asia Sourcing Office.

Minimum Eligibility Requirements

  • Bachelor's degree or equivalent preferred
  • Must be detail-oriented and organized
  • One to four years in one or more of the following areas: purchasing, supply chain, inventory, store operations, or related field
  • Ability to adapt well to a dynamic retail corporate environment
  • Strong computer skills including Microsoft Office Suite (Intermediate to advanced level Excel required)
  • Ability to communicate effectively with all levels of management
  • Ability to multi-task, meet deadlines, and work in a fast-paced environment

Essential Job Functions

  • Update purchase orders with new arrival dates, new quantities, or cancellations where needed in partnership with the vendor and inventory operations
  • Track and report the location of late and unreceived purchase orders to internal customers
  • Generate purchase order status reports to ensure high-risk purchase orders are prioritized for action needed
  • Partner with international logistics to obtain an aggressive sailing schedule for purchase orders that are shipping late from the port of origin
  • Partner with north American logistics to monitor and report on domestic vendor ready-to-ship status
  • Identify root cause drivers of poor vendor performance and recommend actions to improve results
  • Resolve data integrity issues as they arise (i.e. ship point corrections)
  • Communicate purchase updates to store associates for special order SKUs to ensure a positive customer experience
  • Act as the subject matter expert on various systems including Bamboo Rose, EcUtpoia, and Service Now
  • Resolve purchase discrepancies driven by incorrect cost, incorrect quantity, or incorrect invoice
  • Provide Adhoc Analysis and process improvements for purchase order-related activities
  • Attend and present purchase order updates in weekly Merchant meetings

Working Conditions (travel,   environment)

  • Limited local travel may be required
  • The noise level in the work environment is typically quiet to moderate

Physical/Sensory Requirements

Sedentary Work – Ability to exert 10 - 20 pounds of force occasionally, and/or a negligible amount of force frequently to lift, carry, push, pull or otherwise move objects.  Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time.
