Administrative Assistant

PURPOSE
This position will manage and oversee the day-to-day administrative support activities for the Senior Vice President- Merchandising. Act as the primary point of contact for both internal and external constituencies, assist and represent the SVP in communicating with constituents, and handle multiple incoming issues and concerns addressed to the SVP and team. Manage a variety of special projects and presentations for the team.

MAJOR RESPONSIBILITIES

  • Assignments involve work of a confidential and/or complex nature, necessitating exposure to sensitive information and contacts, thereby requiring considerable discretion, judgment, tact and diplomacy
  • Serve as the primary point of initial contact for internal and external communication on all matters pertaining to the Senior Vice President- Merchandising.
  • Maintain SVP's complex calendar by planning and scheduling meetings and conference calls
  • Coordinate highly complicated domestic and international travel planning, preparing travel itineraries, expense reporting and visa applications
  • Conserve executives’ time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications and webinars
  • Prepare and edit correspondence, reports and presentations
  • Plan departmental events off-site
  • Prepare expense reports and spreadsheets
  • Organize and maintain files and records
  • Provide excellent customer service
  • Handle catering as needed


MINIMUM ELIGIBILITY REQUIREMENTS

  • College degree preferred
  • Seven to ten years of work experience providing advanced administrative support to an executive officer (or an equivalent combination of education and experience sufficient to perform the essential functions of the job, as determined by the company)
  • Must be self-motivated and demonstrate initiative
  • Ability to work effectively in a proactive team environment
  • Experience working with senior level executives (within and outside the company), vendors, visitors and other dignitaries
  • Excellent communication (verbal and written), interpersonal and organizational skills
  • Ability to multi-task, prioritize, track projects and follow through on assigned tasks
  • Must be able to adapt, work quickly and accurately with minimal supervision in a fast paced environment
  • Strong PC skills required which include Word, Excel, Power Point and Outlook


WORKING CONDITIONS (TRAVEL, HOURS, ENVIRONMENT)

  • Occasional travel may be required including air and car travel
  • The noise level in the work environment is typically quiet.


PHYSICAL/SENSORY REQUIREMENTS
Sedentary Work – Ability to exert 10 - 20 pounds of force occasionally, and/or negligible amount of force frequently to lift, carry, push, pull or otherwise move objects. Sedentary work involves sitting most of the time, but may involve walking or standing for brief periods of time.
