Manager Real Estate & Construction Systems

This position is responsible for Management and coordination of the CBA team (Construction Business Administrator), within the Real Estate & Construction Department. Additional responsibilities include Financial/Pipeline reporting, financial forecasting and auditing, and overall departmental process management. Position will also support all members of the Real Estate Development team. This position has 3 direct reports and reports to the Senior Manager.

PROCESS AND COMPLIANCE RESPONSIBILITIES

  • Engage with end users, business operations, and various internal departments in order to maintain a thoughtful backlog prioritization that provides maximum value to product viability and aligned with the business’s strategy.
  • Manage compliance and execution of all department contractual agreements and insurance requirements for all firms and consultants.
  • Manage process flow for construction bid packages.
  • Manage a team that will maintain and support development of new processes to comply with company contract, budget, and invoice approval standards.
  • Manage landlord tenant allowance process for Construction.
  • Manage and support financial reporting auditing.
  • Manage construction budgeting process.
  • Track and provide information and documentation for construction legal issues.
  • Perform Monthly and Quarterly financial reviews and forecasts.

COLLABORATIVE SOFTWARE RESPONSIBILITIES:

  • Systems Management for Real Estate collaborative software (Kahua). Manage CBA team regarding Access, Accounting and Finance codes and tracking, workflows, and data management. Track and lead project timelines regarding key system changes and associated processes relevant to the changes.

CAPITAL REPAIR AND REPLACEMENT PROGRAM RESPONSIBILITIES:

  • Project Management and Financial responsibility for the Capex Repair Program.
  • Planning of the annual Capex Program for Repair and Replacement in existing real estate. Forecasting and financial reporting on the program.
  • Contract and vendor management for the program.

Minimum Eligibility Requirements

  • Bachelor’s degree in relevant field (Finance, Accounting, Business management, etc.) (relevant experience can be substituted for the required education based on two calendar years of experience for one academic year of education.)
  • Three to five years of relevant experience required or an equivalent combination of education and experience sufficient to perform the essential functions of the job, as determined by the company.
  • Strong computer skills including Microsoft Office Suite, construction project management systems.
  • Experience managing a team that processes construction agreements, project Bidding, General Contractor accounting and purchase order generation/vendor management.
  • Must be detail-oriented and highly organized.
  • Ability to multi-task, meet deadlines, and work in a fast-paced environment.
  • Must maintain a valid driver’s license.

Working Conditions (travel, hours, environment)

  • This position is salaried, knowing it may include hours which exceed eight hours in a day or forty hours in a week

  • Travel required including air and car travel (5 to 10%).

  • The noise level in the work environment is typically moderate.

Physical/Sensory Requirements

Sedentary Work – Ability to exert 10 - 20 pounds of force occasionally, and/or negligible amount of force frequently to lift, carry, push, pull or otherwise move objects.  Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time.

Store Support Center Associates

Provide leadership and support training on all Safety programs, processes and procedures, ensuring that every associate is properly trained for their position. 

Follow established Safety procedures in all aspects of work assignments applicable to the position.  Each associate is responsible for Safety at the Store Support Center and when visiting other company work locations.  All Safety concerns must be brought to the attention of the management of a location and/or the Store Support Center Safety Department immediately.
