Senior Manager, Real Estate and Consolidated Systems

Purpose

This position is responsible for management and coordination of the Real Estate, Construction and Lease collaborative online system as well as analytical, reporting and administrative support for the department. Additional responsibilities include Financial/Pipeline reporting for the department and SOX compliance processes/narratives as well as adherence. Position will also support all members of the Real Estate Development and Facilities team.

Minimum Eligibility Requirements

  • Bachelor’s degree in Engineering, Construction Management, or Finance discipline. (relevant experience can be substituted for the required education based on two calendar years of experience for one academic year of education.)
  • Five years of relevant experience required or an equivalent combination of education and experience sufficient to perform the essential functions of the job, as determined by the company.
  • Experience in program management of a Construction and Lease process software. Strong computer skills including Microsoft Office Suite.
  • Experience managing a team that processes construction agreements, project Bidding, General Contractor accounting purchase order generation/vendor management, system enhancement sprint planning, business process improvements, and business intelligence analytics
  • Minimum of 3 years’ experience in performing Project Management duties for program roll outs.
  • Must be detail-oriented and highly organized.
  • Ability to multi-task, meet deadlines, and work in a fast-paced environment

Essential Job Functions

PROCESS AND COMPLIANCE RESPONSIBILITIES

  • Engage with end users, business operations, and various internal departments in order to maintain a thoughtful backlog prioritization that provides maximum value to process viability and aligned with the department’s strategy.
  • Manage compliance and execution of all department contractual agreements and insurance requirements for all firms and consultants.
  • Manage process and reporting for construction bid packages and contracts.
  • Manage a team that will maintain and support development of new processes to comply with company contract, budget and invoice approval standards.
  • Maintain compliance and SOX narratives for all Construction Department processes.
  • Manage landlord tenant allowance process for Construction.
  • Manage analytical, reporting and accrual process for Construction and Facilities.
  • Manage and support financial reporting for Construction and Facilities Department budget tracking and forecasting.
  • Manage and support system enhancement development planning and budgeting
  • Track and provide information and documentation for Construction and Facilities legal issues.
  • Ensure that Monthly and Quarterly system reviews with Internal Audit and the IT team are performed.
  • Support Real Estate with reporting and analysis as needed.
  • Manage a staff of individuals that will support all the administrative, analytical and reporting requirements for the Real Estate Department.
  • Support Facilities software for work order, invoicing and asset tracking.

COLLABORATIVE SOFTWARE RESPONSIBILITIES:

  • Systems Department Management for Real Estate collaborative software.
    • Department Manager for construction software and project management implementation for Real Estate collaborative software.
    • Management of department software that will provide the following:
      • User access and system security.
      • File sharing between all applicable parties.
      • Ensure proper folder structure, approval processes/levels and project roles are SOX compliant.
      • Continuous improvement process or all department systems software.
      • Oversea team responsible for budget set up, purchase order generation, invoice processing, ad hoc and standard reporting, AIA payment application accuracy and completeness for the Real Estate Department.
      • Review all AIA General Contractor payments for accuracy and completeness.
      • Develop and maintain a training program for all users
      • Ability to resolve complex and diverse issues by identifying underlying or hidden problems and patterns

Working Conditions (travel, hours, environment)

  • This position is salaried, knowing it may include hours which exceed eight hours in a day or forty hours in a week
  • Travel required including air and car travel (5 %).
  • The noise level in the work environment is typically moderate.

Physical/Sensory Requirements

Sedentary Work – Ability to exert 10 - 20 pounds of force occasionally, and/or negligible amount of force frequently to lift, carry, push, pull or otherwise move objects.  Sedentary work involves sitting most of the time but may involve walking or standing for brief periods of time.

Store Support Center Associates

Provide leadership and support training on all Safety programs, processes and procedures, ensuring that every associate is properly trained for their position. 

Follow established Safety procedures in all aspects of work assignments applicable to the position.  Each associate is responsible for Safety at the Store Support Center and when visiting other company work locations.  All Safety concerns must be brought to the attention of the management of a location and/or the Store Support Center Safety Department immediately.
