Accounts Payable Manager

Purpose:

The individual in this position is responsible for managing all aspects of the company’s inventory accounts payable process. This is a critical management function which includes matching, process, and payment of invoices, assisting with closing AP for monthly financial close, reconciliation and reporting of key metrics, and the Supply Chain Finance program.

Minimum Eligibility Requirements:

  • Bachelor’s degree preferred (relevant experience can be substituted for the required education based on one calendar year of experience for one academic year of education)
  • 3 - 5 years of accounts payable experience, or an equivalent combination of education and experience sufficient to perform the essential functions of the job, as determined by the company
  • Identify and gather information and resolve problems in a timely manner
  • Detailed-oriented and possess strong analytical skills
  • Multi-task with accuracy, meet deadlines, and work in a fast-paced environment
  • Excellent customer service skills and be able to manage difficult vendor situations and  respond to vendor/customer needs
  • Time management and organizational skills
  • Self-motivated and a dynamic team player
  • Proven problem-solving and team building skills
  • Strong computer skills including Microsoft Office Suite

Essential Job Functions:

Trade Payables

  • Onboard/Train new employees
  • Supervise team actions and resolve work-related issues
  • Merge/post invoice batches
  • Post Check Runs and Maintain Check Register Recap spreadsheet
  • Research Vendor questions
  • Research internal AP questions and issues
  • Approve employee timecards and maintain records of PTO
  • Verify all Checks for Weekly Expense Check Run
  • Invoice entry, resolving Match issues, disputing and voiding invoices, research and reporting
  • Manage Vendor Statement Review delegation monthly
  • Plan and monitor the teams weekly Inbox duties

ACH/WIRE

  • Review ACH and wire payments

Accounting

  • Assist general ledger accounting team to perform bank account research
  • Generate AP reports for Management and other departments (distribution, history, etc.)
  • Manage Open Payables (Cash Requirements Report)
  • Handle time sensitive and otherwise special payments (check or bank transaction)
  • Research AP statistics and accrual data
  • Maintain help tools for departments (spreadsheets, instruction files, ect..)
  • Invoice Uploads, research EDI issues, and maintain records for items uploaded
  • Provide Audit Support

PHYSICAL/SENSORY    REQUIREMENTS

Sedentary Work – Ability to exert 10 - 20 pounds of force occasionally, and/or negligible amount of force frequently to lift, carry, push, pull or otherwise move objects.  Sedentary work involves sitting most of the time, but may involve walking or standing for brief periods of time.
