Accounts Payable Supervisor

Purpose:

This position is responsible for the creative workflow process for supervising and coordinating activities of associates engaged in calculating, posting and verifying duties to obtain and record financial data for use in maintaining accounting and statistical records.

Expense and Freight – FedEx Administration, Coupa, consolidated invoices upload, research, reporting, department data mining and reconciliation of AP aging, credit card administrator, and vendor chargebacks analysis.

Trade – Supervise team actions and resolve work-related issues. Onboard and train new employees. Reduce AP aging days by analyzing three-way matching invoices.  Approve employee timecards and maintain records of PTO.  Review general ledger account coding, merge batches, research, manage vendor statements, and unmatched receivers. Supplier rebate analysis, Supply Chain Finance management, and reporting.

Minimum Eligibility Requirements:

  • Bachelor’s degree in Accounting, Finance, Business Administration or related field and 5 years (including 2 years of supervisory experience) of accounts payable, accounting or treasury finance experience, or an equivalent combination of education and experience sufficient to perform the essential functions of the job, as determined by the company (relevant experience can be substituted for the required education on the basis of one calendar year of experience for one academic year of education)
  • Intermediate to advanced proficiency in Microsoft Excel is required
  • Read, analyze and interpret procedures and policies/regulations
  • Write reports, business correspondence and procedures manuals
  • Present information and respond to questions from associates, vendors and customers
  • Apply generally accepted accounting principles and procedures
  • Solve practical problems and deal with a variety of variables
  • Use computer software programs and/or other applications
  • Interpret a variety of instructions
  • Calculate figures and amounts and apply principles of accounting
  • Detail-oriented self-starter with ability to multi-task in a fast-paced environment
  • Excellent verbal and written communication skills
  • Strong interpersonal skills and proven ability to work effectively across functions

Essential Job Functions:

  • Analyze and review purchase orders, inventory/supplies received, and supplier invoices
  • Resolve escalated or identified complex issues through root cause analysis
  • Heavy communication with internal and external customers regarding invoice or 3-way matching discrepancies
  • Communicate with domestic and international suppliers
    • Answer supplier inquiries
    • Reconcile supplier statements

  • Investigate unmatched receivers
  • Review invoices for appropriate documentation and approval prior to payment
  • Assist with development and implementation of new procedures and system enhancements to improve efficiency
  • Provide ad-hoc reporting as necessary
  • Audit AP batches to check for accuracy
  • Maintain accounts payable reports and accounts payable files
  • Assist corporate staff members as necessary
  • Assist in monthly closing

WORKING CONDITIONS (TRAVEL & ENVIRONMENT):

  • Limited travel required travel required including air and car travel
  • The noise level in the work environment is typically quiet to moderate

PHYSICAL/SENSORY    REQUIREMENTS

Sedentary Work – Ability to exert 10 - 20 pounds of force occasionally, and/or negligible amount of force frequently to lift, carry, push, pull or otherwise move objects.  Sedentary work involves sitting most of the time, but may involve walking or standing for brief periods of time.
